Important — Read carefully
This page is the working text of Padan's confidentiality, privacy, and engagement terms. It is written in plain language and represents Padan's actual practice. By submitting a document to Padan — through the form, by email, by WhatsApp, or in person — you accept these terms.
§ 01
Confidentiality.
Every document submitted to Padan is treated as confidential from the moment of submission, whether or not the engagement proceeds, and whether or not a fee is paid.
What this means concretely:
- Your document is read only by the sworn translator (Muhammad Hafidh Al Mukmin) for the purpose of translation. We do not subcontract to other translators or agencies.
- The contents of your document are not discussed with third parties, used as examples, or stored in shared translation-memory services.
- If we use sample text from a translation in our journal or marketing materials, it will be either fully anonymised or used only with your explicit written consent.
- Any third-party tool used in the work (file storage, scheduling, payment processing) is named in §02 below.
If you require a separate signed NDA (e.g. for institutional or M&A work), we are happy to sign one before reviewing the document. Just ask when you submit.
§ 02
Privacy & data handling.
What we collect
- The document you submit, plus any contextual notes you provide about its intended use.
- Your contact details: name, email, optional WhatsApp number, optional postal address for physical delivery.
- Transactional records: quote, invoice, payment confirmation.
What we don't collect
- We do not run analytics or tracking scripts on this website. No Google Analytics, no Meta Pixel, no third-party cookies.
- We do not maintain a customer database for marketing purposes. We do not send newsletters or unsolicited follow-ups.
Where your data lives
- Email: [email protected], hosted via Cloudflare Email Routing → a private Gmail inbox.
- Form submissions: routed through FormSubmit to the same email address.
- WhatsApp: standard WhatsApp Business hosted by Meta, on the translator's device.
- Translation files: local working storage on the translator's machine, with encrypted backup.
Retention
Source documents, translation memory, and working files are deleted thirty (30) days after delivery on request. Transactional records (invoices, quotes) are retained for the period required by Indonesian tax law (typically 10 years).
Your rights
You may request, at any time:
- A copy of all data we hold about you and your documents.
- Deletion of your data (subject to tax-retention requirements above).
- Correction of any inaccurate data.

§ 03
Terms of service.
Scope of work
The scope of each engagement is defined by the written quote we send in response to your submission. The quote names the document(s), the translation direction, the page count, the agreed turnaround, the total fee, and any extras. Work outside this scope (additional pages discovered mid-translation, document changes from your side, additional bound copies) is treated as a change order and quoted separately before being performed.
Source materials
You warrant that you are the document owner, or that you are authorised to share the document for the purpose of translation. Padan is not responsible for documents submitted without proper authority.
Accuracy and revisions
Padan stands behind every translation as a faithful rendering of the source. If you believe a specific rendering is incorrect, we'll discuss it — translation is a defensible decision, not a pronouncement, and we revise without charge where genuine errors are identified.
Revisions arising from source-content changes from your side (e.g. you send an updated version of the document), or from destination-institution requirements that surface after delivery, are quoted separately at our standard per-page rate.
Cancellation
If you accept a quote and then cancel before work begins, the deposit is fully refundable. If you cancel after work has started, the deposit covers the work completed up to that point; any unused portion is refunded.
Force majeure
Padan is not liable for delays caused by events outside reasonable control — natural disaster, network outage of essential infrastructure, illness, etc. We'll communicate promptly and revise the timeline.
§ 04
Payments.
Standard payment terms are 50% on acceptance of the quote (initiates work) and 50% on delivery. Quotes are in Indonesian Rupiah (IDR) and are valid for fourteen (14) days from the date issued, after which we may requote.
Accepted payment methods: bank transfer (BCA, Mandiri, BRI), QRIS, and other electronic methods on request. International transfers can be arranged but may carry intermediary bank fees that are passed on to the client.
For institutional clients with established invoicing relationships, net-30 terms are available on prior arrangement. Late payments after 30 days may carry a service charge of 1.5% per month.
Tax: invoices issued by Padan include or exclude PPN depending on the engagement; this is stated explicitly on the quote and invoice.
§ 05
Liability.
Padan is liable for the accuracy of the translation as a rendering of the source document into the target language. Padan is not liable for:
- Decisions made by third parties (embassies, universities, courts, registrars) about whether to accept a sworn translation.
- Procedural requirements outside the translation itself — apostille, consular legalisation, notarisation of the source, additional bound copies — unless explicitly included in the engagement.
- Consequences arising from inaccuracies, omissions, or ambiguities in the source document.
- Indirect, consequential, or punitive damages.
Total liability of Padan for any single engagement is limited to the fee paid for that engagement.
§ 06
Governing law.
These terms and any engagement between Padan and a client are governed by the laws of the Republic of Indonesia. Disputes are subject to the exclusive jurisdiction of the courts of Jakarta, except where mandatory consumer-protection law dictates otherwise.
Where a dispute can be resolved through professional mediation (e.g. through the Himpunan Penerjemah Indonesia or an analogous body), both parties agree to attempt mediation in good faith before initiating litigation.

These terms are versioned. Material changes are dated and posted here, and existing engagements continue under the version effective at the time of the quote.
